This isn’t another calendar app for you to flick between to check whether your next social event fits into your work schedule. This is a tool that will allow you to completely sync your entire roster straight into your phones calendar at the press of a button. So everything in your life is right there in one place.

With the introduction of iCloud to iOS and OSx calendars, and Google Calendar for those of us using an alternate web based platform, there is now a new level of lifestyle planning possible.

Shift Sync has been designed as a tool that takes advantage of your built in calendar and with the ability to now share your calendar through cloud services, life becomes just that bit easier to plan.How many times have you had to ring your partner, wife, or kids before confirming offers of an extra shift at work? How many times have they planned something only to find out later that you can’t attend due to work? It’s these little frustrations where Cloud services come to the forefront.

With these services you now have the ability to set up multiple calendars and share them with your family and friends. Taking away the hassle and stress of planning between everyone and just having a calendar that you can all add, edit and share with each other. This way when you next get offered an extra shift and your not sure if your partner is home to look after the kids or working, it becomes as simple as opening the calendar on your phone and seeing what the both of you have booked in, so you know right then if you’re available.

Before starting the process below make sure you have set your default calendar to the iCloud Calendar. This can be done in Settings/Mail,Contacts,Calendar/Calendar>Default Calendar.

See below for the step-by-step calendar sharing process. This first method is for those sharing a single Apple ID.

Method 1- Firstly if you are using only one Apple ID across all your mobile devices its as easy as adding the account to your device settings then viewing and changing in the built in Calendar is the same on all devices.

As seen here any up to date Apple device should ask you on set up of your Apple id to set your iCloud calendar up. If you haven’t, then just go to the Mail, contacts, calendar option in your settings and select add account. Do this to all your devices and your set.

* If your using Google calendar or Microsoft Exchange, its basically the same but instead of adding iCloud account, go to your settings and select add Gmail account. By adding the same account on each device you will be able to make changes and see them all update as required.

If you want to set up a calendar with your partner, kids, friends or colleges, and each has a different Apple ID then follow the methods below for each of your Apple devices.

iPhone - After you have set up your phone with iCloud, open your Calendar app. In the calendar in the top corner open the calendar menu.

Here will be a list of all the calendars you have added to your device. As you scroll down you will come to iCloud, you will see a coloured dot and calendar name.

Select the arrow next to this name, and you will enter the edit calendar screen. Here simply select add Person, enter there Apple ID email and press add.

At this point an email is sent to the person you wish to share with and once they accept both of you will be able to edit, add and share. DONE!

iPad - After you have set up your phone with iCloud, open your Calendar app. In the calendar in the top corner open the calendar menu.

Here will be a list of all the calendars you have added to your device. As you scroll down you will come to iCloud, you will see a coloured dot and calendar name.

Select the arrow next to this name, and you will enter the edit calendar screen. Here simply select add Person, enter there Apple ID email and press add.

MacBook - Again a simple process. Once you add your iCloud Acc. open the calendar, select the cloud logo next to your named calendar in the side menu and add the email of the user you wish to share with.

Online - Finally if you want someone to be able to view your calendar at home, or else where in the world without have an Apple device. You can log into iCloud.com and use the web-based calendar.

Again the layout and process are very much the same and you can see from the below image where to find the share service.

Untitled-1_03I don’t understand how to enter my shifts into the App?

Simply open the app on your iPhone or iPad and head to the about section where you can find a step-by-step user guide.

I have entered a 24hr shift but it doesn’t appear in my calendar ?

For a 24hr shift to appear in the iOS calendar you need to make the finish time of your day shift one minute prior to the hour. Example. A 24hr shift that starts at 8am and finishes at 8am the following morning needs to be entered as, Start – 08:00 Finish 07:59 this way the calendar know it is finishing the following day.

I can’t see any shifts appear in my calendar after sync?

Open the settings on your device and head to Mail, Contacts, Calendar. If you scroll down you will see under calendar the label default calendar. Check to see which calendar you have selected and change if required. This is the calendar that your shifts will be synced to. Following this open your calendar on your device. In the top left corner press the button “calendar” here check that the default calendar you selected is checked so that it appears for view on the calendar screen.

Return to settings and the section Mail, Contacts, Calendar. Under the Calendar label check that the time period for synced events is set to all events. See example below.

IMG_1777 *After any settings are changed on your iPhone we suggest you reset the device for changes to take effect. To do this, hold down the button on top of the device and home button at the same time for 10 seconds. The Phone will turn off, let go of the buttons when you see the Apple symbol reappear.

I have completed sync but the times I have set appear different in the calendar?

This may be due to a change in your location for time zones. Here you need to decide whether to turn off time zone support or not. Time zone support will set your synced shifts to the time which your time zone support is set at (usually your home location). If you want the shift times to change to the time zone you move into then complete the following. Open the settings on your device and head to Mail, Contacts, Calendar. If you scroll down you will see under calendar the label Time Zone Support. Open this and select to turn off time zone support.

The shifts appear in the calendar but are a faint grey, instead of the dark font of a normal event?

This is because you are using the iCloud calendar as your default calendar. It may take a small period for the shifts to appear as a normal event as the large number of shifts input into the calendar at one time need to be uploaded to the cloud.

How do I share my calendar with family and friends?

You can share your calendar with friends and family via iCloud or Gmail. For clear instructions on completing this please go to the Share Your Calendar tab at the top of this page.

How do I delete my synced shifts from the calendar?

Open the app, and go to set up. At the bottom of the page we have added a button to delete shifts. It works the same as the sync, and will delete all installed shifts in bulk. Simply select the dates of the sync period you wish to delete and press delete shifts.

Is there anyway to take the shifts off the calendar during periods of annual leave?

Yes, It's as simple as selecting the dates in the sync period which you will be on leave for, and press delete shifts for this period. This then blanks out the calendar for that time and allows you to add events that you may have organised in you personal time.
